This is a temporary position to support over the term of January to end of May 2020.  Flexible shift rotation of (10/4 or 5/2 – based on location).  There will be camp accommodations provided while on shift.

The ­­­­­­Site Administrator reports directly to the Project Manager and will be responsible for assisting in paperwork for the project site, filing, recording meeting minutes, and general office duties.


As a Site Administrator at Graham you will:


  • Reporting to the Burton creek project each day and supporting project staff in maintaining a consistent approach to document distribution and filing.
  • Maintaining the filing system on projects, including setting up new project files (hard copy and electronic versions).
  • Assisting Technical, Supervisory, Health, Safety, and Quality Management Staff in developing and maintaining document and information databases, logs and records.
  • Assisting in the preparation of timesheets, including data collection and entry.
  • Keeping records of photographs and assistance with the completion of daily reporting.
  • Coordination of basic site support services, such as cleaning and waste disposal.
  • Assisting with the preparation and submission of expense claims.
  • Assisting the procurement staff with goods receipts and processing of invoices.
  • Preparing information packages in hard copy and/or electronically to support field staff in efficient execution of site meetings, inspections, and record keeping.
  • Responsible for overflow typing as required, including minutes and other correspondence.
  • Scanning and filing of project documentation for record and project closeout purposes.
  • Data entry to MS Office applications and other specific software

To be successful at Graham, you will have the following qualifications and experience:


  • High school graduate, Administration Diploma or equivalent experience
  • Minimum 3 years of administrative experience
  • Prior document control experience within a Construction environment is considered an asset
  • Minimum of 50 WPM typing skills, with good formatting and grammatical skills
  • Good written and verbal communication skills
  • Strong interpersonal skills and ability to excel in a team environment
  • Strong work ethic and organizational skills
  • Must be able to multi-task, prioritize and work in a fast-paced environment
  • Detail oriented with the ability to problem solve
  • Strong computer and processing skills using MS Office (Word, Excel, Outlook, PowerPoint)
